Lancemore Crossley St. is seeking a Reservations Coordinator to join our amazing Front Office Team, delivering genuine hospitality and a boutique experience to our guests. 

 

Job Overview: As Reservations Coordinator, you will play a vital role in ensuring the smooth operation of reservations and bookings within our organization. You will be responsible for managing reservations, responding to inquiries, coordinating bookings, and providing excellent customer service to our clients. The ideal candidate will possess exceptional communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

 

 

 ABOUT THE ROLE:

 

Reservation Management:

  • Receive and process reservations via phone, email, and online booking platforms.

  •  Maintain accurate records of reservations, including guest details, special requests, and preferences.

  •  Monitor reservation systems to ensure availability and accuracy of bookings.

  •  Coordinate with other departments to fulfill special requests and ensure guest satisfaction.

Group Booking Management:

  • Receive and process group booking inquiries via phone, email, and online platforms.
  • Coordinate with group organizers to understand their requirements, including room blocks, meeting spaces, catering, and special requests.

 

Customer Service:

  • Respond promptly and professionally to inquiries from clients regarding reservations, availability, and accommodation options.
  • Provide information about amenities, services, and policies to guests.
  • Handle guest complaints and resolve issues in a timely and efficient manner.

 

Communication and Coordination:

  • Liaise with various departments, including Housekeeping, Front Desk, and management, to coordinate reservations and ensure seamless guest experiences.
  • Communicate effectively with guests to confirm reservations, provide directions, and offer assistance as needed.
  • Collaborate with the Sales and Marketing team to promote special offers and packages to potential guests.

 

Administrative Tasks:

  • Maintain organized reservation files and databases.
  • Generate reports on reservation trends, occupancy rates, and revenue projections.
  • Assist in the development and implementation of reservation policies and procedures.
  • Process payments, deposits, and cancellations according to established guidelines.

 

 

ABOUT YOU:

  • Previous experience in a similar role, preferably in the hospitality industry.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and organizational abilities.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Customer-focused attitude with a commitment to providing exceptional service.
  • Flexibility to work evenings, weekends, and holidays as required.
